1.3 Organizing and structuring data and information

The Gordian knot of files

In this exercise, participants learn how to download and convert different file types, transfer them to others, and save them in a structured manner. The aim is also to enable participants to impart knowledge to others and acquire new skills in this area. The task is a cooperative game in which all participants start from different points and work toward the same goal.

Cooperative exercise

Digital work materials, video conference room + “Olga’s folder”
Work materials 1–7

90+ minutes

This task consists of two parts.

In the first part, each participant receives a task sheet as a starting point. There are seven different starting points in total, so teams may need to be formed in advance. The task sheets contain instructions (see working materials) that the participants must follow and a link to download a file. The following files are provided to start with:

  • 1) Mara.zip (contains Mara_1.pdf and Mara_ 2.pdf)
  • 2) Michaela.pptx
  • 3) Manuela.mp4
  • 4) Malu.jpg
  • 5) Madita1.docx
  • 6) Madita2.docx
  • 7) Rosa.xlsx

The aim of the task is for each participant to have the following files available in the order in which they appear in the folder “Olga’s folder” that they have created:

  • Mara.pdf
  • Paula’s PowerPoint presentation.pdf
  • Manuela.Gif
  • 20210818.jpg
  • RM.zip (contains: Rosa’s detailed travel expense report.pdf, Madita.pdf)

The second part is for reflection on the exercise. This can be done individually or in a group. Questions for discussion could include: What went well? What didn’t go so well? Where were there difficulties? What solutions were found?

  • The moderator must ensure in advance that each participant has a device (smartphone, laptop, or tablet) and internet access to download the first file.
  • It does not matter which channels the participants use to send the files to each other. Depending on the group constellation and the devices used, this could be email, messenger services with or without phone numbers, AirDrop, Bluetooth, etc.
  • It is helpful to ensure that no group dynamics arise in which participants feel uncomfortable sharing personal data.
